Chapter 03Fit ยท System
Holiday guest prep: where everyone sleeps and sits
Start two weeks out with a list: every guest, how many nights, and which bed they get. Check each bed against its room with about 24 in of walkway on each open side and 36 in at the foot (Casper's figures). Count table seats at about 24 in a person and leave 36 in behind the chairs. Borrow whatever is short. Then get the guest room ready in three passes: a week out, the day before, and the last hour.

Do it, skip it or get help
Plan it yourself
A guest list, a tape measure and the two fit tools cover the planning. Measuring every room and the table takes an evening.
Skip what this visit doesn't need
One guest for one night needs only the bed check and the last-hour pass. Not hosting the big meal? Skip the table rows.
Get help when the numbers come up short
If the beds or seats run out, ask family to bring a folding table or an air mattress, look at a party rental shop for tables and chairs, or book a nearby room for one couple. Put each borrowed item on the list so it goes back.
The steps, in order
Two weeks out: the sleeping list
Write every guest, the nights they stay, and the bed they get. Couples share; kids can often go on a twin or an air mattress. The list shows straight away whether you are a bed short.
Have ready: The guest list and a pencil
Two weeks out: check each bed fits its room
For every bed on the list, measure the room and run it through the bed fit check. Casper suggests about 24 in of walkway on each side and 36 in at the foot. A queen on a frame that adds 2 in needs 110 by 118 in that way.
Have ready: A tape measure and the bed fit check open

Two weeks out: measure the floor for an air mattress
Measure the clear patch of floor left once the furniture stays put, not the whole room. An Intex queen is 60 by 80 in, so against a wall it needs about 84 by 116 in of clear floor. A twin at 39 by 75 in needs about 63 by 111 in.

Two weeks out: count the seats at the table
Give each person about 24 in of table edge. A 72 by 38 in table seats 8 that way; push a 30 in card table against one end and it seats 10. Then check the room: at least 36 in from the table edge to the wall so chairs pull out.

Ten days out: borrow what's short
Turn the gaps into a short list: one air mattress, one card table, four chairs, a set of sheets. Ask early, and write down who lent what so it goes back to the right house.
Have ready: The two lists from the steps above
A week out: the first guest room pass
Clear the floor, free a drawer and a few hangers, and inflate the air mattress overnight. Intex says new vinyl stretches the first few times, so a bed that seems flat by morning may just be new. Top it up and check again.

The day before: beds, towels, the house card
Make every bed, set out towels for each guest, write a card with the Wi-Fi and shower notes, and press the test button on the smoke alarm nearest each guest bed. NFPA says to test alarms at least once a month, so this counts as the month's test.
Have ready: Sheets that fit each bed's depth, and a step stool

The last hour: walk it like a guest
Open each guest room door fully and check it clears the bed. Turn on a lamp, find the outlet from the bed, and walk the route to the bathroom with the hall light off.
Have ready: Ten minutes and a night light
After the visit: write down what worked
Deflate and pack the air mattress, return what you borrowed, and note on the sheet what fit and what didn't. Next year's plan starts from that page.
Have ready: The borrowed-items list
Print the working copy
One page, black and white, US Letter. Tick the boxes and write the dates in.

What goes wrong
The bed fits the floor plan but not the room
A room can hold a queen on paper and still leave no space to open the door or a suitcase. Measuring with walkways, and checking the door swing in the last hour, catches it.
The air mattress goes soft overnight
New vinyl stretches the first few nights, so the bed feels like it is losing air. A test night a week ahead lets it stretch before a guest sleeps on it.

Ten plates, eight chairs that pull out
You count seats along the table edge, but the room decides whether they work. A chair against a wall or a sideboard is a seat nobody can get into, which is why the 36 in check matters.

Sheets that don't reach the corners
A tall air mattress needs a fitted sheet with a pocket as deep as the bed. Intex says normal sheets work when the pocket depth matches, so check the label before the day before.

When the steps change
No guest room
The home office or the living room becomes the guest room. Measure the clear floor for an air mattress, clear one shelf for the guest's things, and decide which mornings you need the desk.
Hosting the meal, guests sleep elsewhere
Skip the sleeping list and the guest room passes. Do the seat count, the table check and the borrowing list, and set the table the night before to catch a missing chair.
A big crowd
When one table and a card table still come up short, split into two tables, adults and kids, and run the seat count once for each. Keep the 36 in walkway between them.

Tips and tricks
- Tip 01
Measure with the door open
Swing the guest room door all the way before you measure. The arc takes floor that a bed or an air mattress can't use.
- Tip 02
Sit in the corner seat
Before the meal, sit at each corner of a table pushed against a card table. The table legs sit at the joins, and that's where knees meet them.
- Tip 03
Photograph the borrowed things
One photo of each borrowed table, chair and mattress next to the owner's name keeps the returns simple.
- Tip 04
Keep the sheet with the bed
Fold the fitted sheet into the air mattress bag when you pack it away. Next year the two come out together.
- Tip 05
Put the house card on the pillow
Write the Wi-Fi, which towels are theirs and how the shower works on one card, and leave it on the pillow where the guest will see it.
What we would do
Do the counting this weekend, the room next weekend
The sleeping list and the seat count take one evening and tell you what you are short. That leaves time to borrow it. The guest room passes follow the checklist, and the after-visit notes make next year faster.

Questions
How far ahead should I prepare for holiday guests?
Start the sleeping list and the seat count about two weeks ahead, so there is time to borrow a table, chairs or an air mattress. The guest room itself takes three short passes: a week out, the day before and the last hour.
How much room does a guest bed need?
Casper suggests about 24 in of walkway on each side of a bed and about 36 in at the foot. A queen mattress is 60 by 80 in, so in a 10 by 10 ft room a queen on a frame leaves about 10 in to spare across and 2 in along.

How many people fit at my dining table?
Divide each long side by about 24 in and round down, then add one chair at each end that is 24 in wide or more. A 72 by 38 in table seats 8. Leave at least 36 in behind the chairs.

Where do guests sleep if I don't have a guest room?
Usually on an air mattress in the office or the living room. Measure the clear floor, not the room: a queen air mattress against a wall needs about 84 by 116 in once you add walkways.
Source: Intex 14 in queen air mattress (64159E), checked October 8, 2026; Casper mattress size guide, checked October 7, 2026.
Should I test the smoke alarms before guests arrive?
NFPA says to test smoke alarms at least once a month with the test button. Doing it the day before guests come counts as that month's test.
